KP is transitioning conference room reservation from all of the various booking systems to Outlook. This is an enterprise-wide project.
When will we start using Outlook?
EMS will go offline on June 14th. 300 Pullman and 501 Lennon Ln will start using Outlook on June 19, 2023. The Downtown Oakland users will use a form on our site to request a reservation. The conference service team will review the request and make sure the room is available to avoid double-bookings. You will get an email response if your request is approved or denied.
How does this affect my current reservations?
Meeting organizers will need to rebook their 2023 meetings directly in Outlook. The Workplace & Network Services team will work with market/functional conference room admins to coordinate time for rebooking reservations as part of this transition.
We know this is hard to believe and difficult to swallow, but it comes down to meeting ownership and level of effort to move vs. rebook reservations. There is no migration tool available nor automated script able to assign meeting ownership, so the meeting organizer would not have the ability to modify or cancel the reservation.
When will we be able to book for 2024?
The calendar for 2024 will open in October. Email messages will be sent a few weeks prior as a reminder.

Can I book a room at 300 Pullman or 501 Lennon Ln?
Only employees that have a seat at 300 Pullman or 501 Lennon can book a room in those buildings. All room request require approval a member of the Facility Management team.
